Privacy Policy

Reglyph (“we”, “us”) is a tool that translates scanned and image-only PDFs while preserving their layout. This policy explains what we collect, how we use it, who we share it with, and the choices you have. We’ve tried to keep it plain and honest rather than exhaustive. The short version
  • We sign you in with Google and store your email so you have an account. That’s the only personal profile data we keep.
  • The documents you upload — and the text inside them — are used only to produce your translation. They are automatically deleted about 24 hours after the job finishes.
  • To do the work, your document is processed by third-party AI and cloud providers, some of which may be located outside your country. See How your documents are processed.
  • We don’t sell your data, we don’t use it for advertising, and we don’t run third-party tracking or analytics on the site.

1. Information we collect

We collect only what we need to run the service:

  • Account information. When you sign in with Google, we receive and store your email address, and may receive your name and profile picture from Google. We do not see your Google password.
  • Documents you upload and their contents. The PDFs you submit, the images and text extracted from them, and the translated output. These may contain personal or confidential information — what you choose to upload is up to you (see Sensitive documents).
  • Usage and billing records. Job history, the number of pages you’ve processed, and your plan and page balance.
  • Technical and diagnostic data. Basic server logs (such as IP address and timestamps) and error reports used to keep the service running and secure. Our error monitoring is configured not to send personal data by default.
  • Payment information. When paid plans are active, payments are handled by a third-party payment processor acting as merchant of record. We receive a record that a payment succeeded and your plan/balance; we do not receive or store your full card number.

2. How we use your information

  • To provide the service: process, translate, and return your documents.
  • To maintain your account, job history, and page balance.
  • To process payments and prevent abuse of free allowances.
  • To keep the service secure, debug problems, and prevent fraud.
  • To send you essential service emails (such as receipts and important security or service notices). We only send marketing emails if you ask to receive them.

Where required (for example, under the GDPR), we process your data on the basis of performing our contract with you, our legitimate interest in running and securing the service, your consent (where we ask for it), and our legal obligations.

We do not use the contents of your documents for advertising, and we do not sell your personal information.

A note on AI training

We do not use your uploaded documents or translated results to train AI models. Your documents are processed only to deliver the translation you requested. We rely on third-party AI providers to perform the translation; because we don’t control every provider’s internal practices, we ask you not to upload highly sensitive documents (see Sensitive documents).

3. How your documents are processed

Translating a scanned PDF takes several automated steps — recognising the text (OCR), removing the original text from the page, translating it, and rebuilding the page. To do this we rely on third-party AI and cloud infrastructure providers that process your document on our behalf. In particular, the text extracted from your document is sent to a third-party AI translation provider to be translated.

Some of these providers, or the infrastructure they run on, may be located outside your country, including outside the European Economic Area. We share document content with these providers only to perform the translation you requested — not for their own independent purposes — and we do not sell your data.

Please consider what you upload

Because your document’s text is sent to an external AI provider to be translated, you should avoid uploading documents that are highly sensitive or that you are not permitted to share with third parties. You are responsible for ensuring you have the right to translate the documents you submit.

4. How long we keep it

  • Uploaded documents and translated results: automatically deleted from our storage about 24 hours after a job completes. Records of jobs that failed are removed within about 7 days.
  • Account and billing records: kept while your account exists, and as needed to meet legal, accounting, or fraud-prevention obligations.
  • Logs and diagnostics: kept for a limited period for security and troubleshooting.

You can delete an individual job (and its stored result) from your history at any time, and you can ask us to delete your account.

5. Who we share information with

We share information only as described here:

  • Service providers. Third-party AI, cloud hosting, storage, authentication, error-monitoring, and payment providers that help us run Reglyph, acting on our instructions.
  • Legal reasons. If required by law, or to protect the rights, safety, or property of Reglyph, our users, or others.
  • Business transfer. If the service is ever transferred to another operator, account information may be transferred as part of that change, subject to this policy.

We do not sell your personal information and we do not share it for advertising.

6. Your rights and choices

Depending on where you live (for example, in the EU/UK or California), you may have the right to access your personal information, correct it, delete it, receive a portable copy of it, object to or restrict certain processing, and not be discriminated against for exercising these rights. Where we rely on consent, you can withdraw it at any time.

To exercise any of these rights, email us at [email protected]. You can also delete jobs from your history yourself, and request full account deletion. We may need to verify your identity before acting on a request.

7. Sensitive documents and children

Reglyph is a general-purpose tool and is not intended for highly sensitive personal data (such as health, financial, or government identity documents). If you choose to upload such documents, you do so at your own discretion and responsibility.

The service is not directed to children. You must be at least 16 years old (or the age of digital consent in your country) to use it. We do not knowingly collect data from children.

8. Cookies

We use only the cookies and local storage that are strictly necessary to sign you in and keep you signed in. We do not use advertising cookies or third-party analytics or tracking.

9. Security

We use industry-standard measures to protect your information, including encryption in transit (TLS) and at rest (AES-256), access controls, and short retention of uploaded documents (see retention above). No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

10. Changes to this policy

We may update this policy from time to time. When we make meaningful changes, we’ll update the “Effective” date above and, where appropriate, notify you. Continuing to use Reglyph after a change means you accept the updated policy.
